Otter.ai shows up on every “best AI meeting assistant” list. It’s one of the oldest tools in this category, it has strong brand recognition, and the free tier gets people in the door.
But I’m going to be direct: if you’re reading this because you’re evaluating tools for a sales team, Otter probably isn’t the right choice. Not because it’s bad - it’s a perfectly functional transcription tool - but because competitors have built features specifically for sales workflows that Otter hasn’t matched.
Here’s the full picture.
What Otter Does Well
Otter started as a real-time transcription tool, and that’s still where it’s strongest. The live transcription is fast and accurate on clean audio. The collaborative editing features - where multiple team members can annotate, highlight, and add comments to a live transcript - are better than any competitor’s. For product teams, design reviews, and all-hands meetings where live note-taking collaboration matters, Otter has a real edge.
The mobile app is also solid. You can record in-person meetings, lectures, or interviews directly from your phone with good accuracy. Most competitors focus exclusively on virtual meetings - Otter works for in-person recording too.
Recent additions include AI summaries with action items, automated slide capture from virtual meetings, and an “Otter AI Chat” feature that lets you query meeting content. These bring Otter closer to feature parity with newer tools, though the AI features feel bolted on rather than native to the product.

The Pricing Problem
Otter’s Business plan at $20/user/month is priced similarly to competitors that offer more sales-specific value. Fireflies Business at $19/user/month includes conversation intelligence and CRM sync. Fathom Business at $25/user/month includes coaching metrics and AI scorecards. Otter’s Business plan has recently added sales features (CRM sync, coaching), but these are newer and less mature than what Fireflies and Fathom offer.
For general meeting transcription, Otter Pro at $8.33/month is competitively priced. But that plan doesn’t include CRM sync or any team management features.
What’s Good
Real-time collaboration. Otter’s live transcript editing is the best in the category. Multiple people can annotate simultaneously during a meeting. For teams that take collaborative notes, this is a differentiator.
Mobile recording. The iOS and Android apps let you record in-person meetings, interviews, and lectures with solid transcription quality. Most competitors only work with virtual meeting platforms.
Broad file import support. You can upload audio and video files for transcription, with automatic sync from Dropbox and Zoom cloud recordings. Useful for teams that record outside of standard meeting platforms.
Mature product. Otter has been around longer than most competitors. The core transcription engine is reliable, the app is stable, and the company isn’t going anywhere. For risk-averse organizations, product maturity matters.
What’s Not Good
Transcription gaps on long meetings. A recurring complaint on Reddit and review platforms: Otter sometimes misses chunks of long meetings entirely. One user reported a 1-hour meeting that produced only 22 minutes of transcript. This isn’t a transcription accuracy issue - it’s missing audio. For teams that rely on complete transcripts, this is concerning.
Free plan is restrictive. 300 minutes per month and a 30-minute cap per conversation is tight. A single hour-long team meeting would exceed the per-conversation limit. Fathom offers unlimited everything on their free plan for individuals.
Language support is limited. Otter transcribes in English, French, and Spanish only. Fireflies supports 100+ languages. tl;dv supports 30+. For international teams or multilingual meetings, Otter isn’t an option.
Sales features feel bolted on. Otter recently added sales-specific features (CRM sync, coaching, deal insights) to the Business plan, but these are newer additions competing against tools that were built sales-first. User reviews suggest these features work but aren’t as refined as Fireflies’ or Fathom’s implementations.
25 most recent conversations on Free. After 25 meetings, your oldest transcripts disappear from the free plan. That’s a more aggressive limit than tl;dv’s 3-month window.
Who Should Use Otter
Companies already standardized on Otter. If your org uses Otter across all teams (engineering, product, company meetings) and you don’t want to introduce a second tool for sales, Otter Business covers the basics. Just know you’re leaving sales-specific intelligence on the table.
Teams that need real-time collaborative notes. If your workflow involves multiple people annotating a live transcript during a meeting, Otter does this better than anyone else.
In-person meeting recording. If you need to record face-to-face meetings, interviews, or conferences, Otter’s mobile app is a strong option.
Who Should Skip Otter
Sales teams. Fireflies ($19/user/month) or Fathom Business ($25/user/month) are better fits. Both were built for sales workflows and have more mature CRM integrations.
Budget-conscious individuals. Fathom’s free plan is unlimited. Otter’s free plan caps at 300 minutes and 30-minute conversations. Not a close comparison.
International or multilingual teams. Three languages (English, French, Spanish) vs. 100+ on Fireflies. The gap is too wide.
