Therapists and coaches have different needs from sales teams. You’re not trying to push meeting notes into a CRM pipeline. You need session documentation, client history you can search through, and - for many practitioners - compliance with privacy regulations.
I evaluated the major AI meeting tools specifically for therapy and coaching workflows. The priorities are different: privacy and consent come first, followed by session note quality, searchable client history, and cost (most practitioners are solo or small practices).
Why Therapists and Coaches Use Meeting Assistants
The main use case isn’t “I don’t want to take notes.” It’s:
- Session documentation for continuity. When you see 20+ clients per week, remembering what Sarah said three sessions ago about her workplace situation is hard. Searchable transcripts solve this.
- Progress tracking. AI summaries that extract themes, action items, and commitments help track client progress across sessions.
- Reducing cognitive load during sessions. If you’re not worried about capturing everything in notes, you can be more present with the client.
- Supervision and training. Coaches in certification programs often need session recordings for supervisor review.
Privacy First: What You Need to Know
Before choosing any tool, understand the privacy implications:
Client consent is required. Every tool sends a bot into the meeting or records locally. Your clients must be informed and must consent. Most practitioners add this to their intake forms.
HIPAA compliance matters for therapists. If you’re a licensed therapist in the US, you likely need HIPAA-compliant tools for client session recordings. Of the tools reviewed here, only Fireflies Enterprise ($39/user/month) and Otter Enterprise (custom pricing) offer HIPAA compliance. Fathom does not currently offer HIPAA compliance.
For coaches (non-clinical), HIPAA typically doesn’t apply. But data privacy still matters. Check each tool’s data retention and encryption policies.
Consider local recording. Some practitioners prefer tools that record locally (on their device) rather than cloud-based services. This reduces data exposure. Otter’s mobile app can record locally. Most other tools are cloud-first.

3. Otter.ai - Best for In-Person Sessions
Why it works for therapists and coaches:
- Strong mobile recording app for in-person sessions (most therapy and coaching still happens face-to-face or in-office for some practitioners)
- Real-time transcription visible during the session if you want it
- HIPAA available on Enterprise (custom pricing, 100-user minimum - realistically only for large group practices)
The limitation: Free plan caps at 300 min/month and 30 minutes per session. Most therapy sessions are 50-60 minutes, immediately exceeding the per-session limit. You’d need Pro ($8.33/month) at minimum. Language support limited to English, French, and Spanish.
Cost: $8.33/month (Pro) for basic use. Enterprise for HIPAA (not practical for solo practitioners).
Tools I Wouldn’t Recommend for This Use Case
tl;dv: Great tool for sales teams, but the coaching scorecards and conversation intelligence features are designed for sales calls, not therapeutic sessions. The free plan’s 90-day storage limit is a problem for practitioners who need to reference sessions from months ago. And no HIPAA path.
Avoma: No free plan, modular pricing designed for sales workflows. The features you’d pay for (CRM sync, deal analytics, playbook tracking) aren’t relevant to therapy or coaching.
Privacy Checklist Before You Start
- Update your intake forms to include AI recording consent
- Verify your regulatory requirements (HIPAA, state licensing board rules)
- Check data residency (where does the tool store recordings?)
- Review the tool’s data retention and deletion policies
- Test the “transcript only” option if available (less sensitive than full recordings)
- Set up automatic deletion schedules for recordings older than your retention policy requires
