Fathom is the budget pick - and it’s actually free for individuals. The catch is that team features cost $19/user/month, which is the same price as Fireflies Business (with annual billing) - and Fireflies gives you conversation intelligence at that price.
tl;dv is the dark horse. Their Business plan ($59/user/month) is a legit Gong alternative at a fraction of the price. If your team is big enough to need conversation intelligence - coaching scorecards, playbook adoption tracking, deal analytics - tl;dv Business might save you $100+ per seat versus Gong.

What I Looked For
I’m not going to give you a rubric with weighted percentages. Here’s what actually matters for sales teams:
CRM accuracy. Does the right data land in the right CRM fields after a call? Does it create a useful entry, or dump a generic note? I tested CRM sync with both HubSpot and Salesforce on every tool that supports them.
Transcription quality under pressure. Sales calls are messy. People talk over each other, prospects mumble, AEs rattle off feature names at speed. G2 reviewers and Reddit users consistently flag crosstalk handling and accent recognition as the biggest differentiators between tools.
Time to value. How long from “call ended” to “useful summary available”? Based on user reports, this ranges from under a minute to 15+ minutes depending on the tool and meeting length. When you’re running back-to-back calls, that gap matters.
What the summary captures. Does the AI pull out pricing discussed, objections raised, and next steps? Or does it hand you a paragraph that says “the team discussed the product”? I compared summary output across all five tools.
Manager visibility. Can a sales manager see what’s happening across the team’s calls without listening to recordings? Talk-time ratios, question patterns, coaching insights?
1. Fireflies.ai - Best Overall for Sales Teams

Fireflies isn’t flashy. The UI won’t win design awards. The onboarding is a little clunky (the Chrome extension and the calendar integration overlap in confusing ways during setup).
But here’s what it does better than everything else at this price: it takes a 45-minute sales call and turns it into structured CRM data. Not a transcript dump. Not a generic summary. Actual fields: topics discussed, pricing mentioned, objections raised, action items, next steps. And it pushes those into HubSpot automatically on the Business plan.
In my testing, the CRM entries were mostly useful. A manager could skim the summary and get a reasonable read on where the deal stands. Where it fell short was nuance - the AI captures what was said but not always how it was said. A lukewarm prospect who’s being polite might get summarized as “expressed interest in next steps,” which is technically accurate but misses the subtext. This is a limitation across every tool I tested, not just Fireflies, but worth knowing.
The conversation intelligence dashboard surprised me. For $19/user/month, you get talk-time ratios, longest monologues, question frequency, and topic tracking across your team. These are features that Gong charges $100+/seat for. They’re not as polished as Gong’s version (the coaching recommendations are basic, and the sentiment analysis is hit-or-miss per G2 reviewers), but the raw analytics are there. The most common positive theme in user reviews is speed of deployment - teams get up and running fast.
Where Fireflies falls short: One consistent complaint across reviews is the English-only interface. If you have a global sales team, that’s a real friction point (tl;dv supports 7 interface languages). The transcription handles accents well but crosstalk - two people talking at once - tends to get garbled. I noticed this myself, and it’s echoed in user reviews. The gap between tl;dv’s Pro plan ($18/user/month) and Business plan ($59/user/month) is massive, and it tells you everything about what tl;dv is trying to be. Pro is a meeting note-taker. Business is a conversation intelligence platform.
On Pro, tl;dv is a solid transcription tool with good clip-sharing features. The ability to timestamp key moments and share 30-second clips from a call is surprisingly useful for deal reviews (instead of asking your manager to listen to a 40-minute recording, you send them the 90 seconds where the prospect raised the budget objection).
On Business, it’s a different product entirely. You get playbook adoption tracking (did your reps follow the MEDDIC framework on this call?), AI coaching scorecards, objection tracking across all team calls, and analytics that let you compare top performers against the rest of the team. This is what Gong does. tl;dv does it for roughly 40-50% of the price.
In side-by-side comparisons, independent reviewers consistently rate tl;dv’s speaker separation slightly higher than Fireflies’ for overlapping speech. Both tools claim 95%+ transcription accuracy, and that tracks with what I’ve seen - they’re close on clean audio, but tl;dv handles messy calls a bit better. Where tl;dv clearly pulls ahead is the coaching layer on Business. The playbook adherence scoring gives managers a quick read on whether reps are following the discovery framework or just winging it.
tl;dv also supports more languages for its interface (7 fully localized languages vs. Fireflies’ English-only UI), which matters for international sales teams. Where tl;dv falls short: The free plan has a 3-month storage limit, which means your recordings disappear after 90 days. For a sales team that wants to reference calls from earlier in a deal cycle, that’s a problem. The Pro plan at $18/user/month is decent but doesn’t include CRM sync - you need Business for that. And Business at $59/user/month is not cheap. For a 10-person team, that’s $590/month. Still less than half of what Gong would cost, but it’s a real line item.
3. Avoma - Best All-in-One for Small Teams

Avoma is the tool that tries to do everything: meeting recording, transcription, AI summaries, CRM sync, scheduling, conversation intelligence, and deal analytics. It mostly pulls it off, which is impressive for a tool that starts at $19/user/month.
The reason Avoma lands at #3 instead of #1: the conversation intelligence features that sales teams care most about (coaching, call scoring, deal risk analysis) are add-ons. The Startup plan at $19/month gets you recording, transcription, notes, and CRM sync - which is solid. But if you want the conversation intelligence layer, you’re adding another $29/user/month, which puts you at $48/user/month. At that price, you’re in tl;dv Business territory.
What Avoma does better than anyone else on this list: CRM sync on the cheapest plan. The $19/month Startup tier automatically saves notes to CRM records and includes a dialer integration. Fireflies locks CRM sync behind the Business plan ($19/month annual). tl;dv locks it behind the $59 Business plan. For a small team that just needs calls to show up in HubSpot without anyone manually copying notes, Avoma’s entry price is the best.
I also liked that Avoma uses a “recorder seat” model where viewers are free. So your 5 AEs who record calls pay $19/month each, but your VP of Sales who just wants to review recordings doesn’t cost anything. That’s a thoughtful pricing structure for sales orgs.
Where Avoma falls short: The modular pricing gets confusing fast. Base plan + Conversation Intelligence + Revenue Intelligence = $19 + $29 + $29 = $77/user/month for the full stack. At that point, you’re almost at Gong pricing without Gong’s market depth. The transcription quality was the weakest of the five tools I tested - not bad, but noticeably more errors on fast-talking speakers and accented English. And the AI summaries tended to be more generic than Fireflies or tl;dv’s output.
4. Fathom - Best Free Option (No, Really Free)

I have to be clear about something: Fathom’s free plan is actually free. Not “free for 14 days” or “free with a 300-minute limit.” Free. Unlimited recordings, unlimited transcriptions, unlimited AI summaries. For individual users, there is no catch. I’ve verified this across multiple sources and signed up myself to confirm - no credit card required, no sneaky upgrade wall after a week.
The summaries are shorter than what Fireflies or tl;dv produce, and they follow a tighter structure (key topics, action items, decisions made). For some people, this is actually better - you get a clean, scannable output instead of five paragraphs of AI narration. I preferred the shorter format for quick deal reviews between calls.
Fathom also has a CRM sync feature that’s free for up to 3 users. That means a solo founder doing sales calls can get AI summaries pushed to HubSpot at zero cost. This is, honestly, the best deal on this list for anyone running a one-to-three-person sales operation.
The “Ask Fathom” feature lets you query across your meeting history (“What pricing objections came up in the last month?” or “Show me every call where the prospect mentioned a competitor”). Reddit users report mixed results here - it’s solid for keyword-based searches but less reliable at catching indirect references (like when a prospect describes a competitor’s feature without naming the company). One thing that comes up repeatedly in reviews: Fathom’s customer support is excellent. Multiple Reddit users specifically call it out, which is unusual for a free product.
Where Fathom falls short: Fathom recently added a Business plan ($25/user/month annual) with CRM sync and coaching metrics, which is great. But that’s more expensive than Fireflies Business ($19/user/month annual) for core CRM integration. Fathom’s coaching features on Business compete more with tl;dv than Fireflies, but at $25/seat vs tl;dv’s $59, it’s a strong middle option. The free plan remains Fathom’s killer feature for individuals. Fathom’s strength is the free individual plan, not the team pricing.
The other limitation: Fathom doesn’t have the conversation intelligence depth that Fireflies, tl;dv, or Avoma offer. No coaching scorecards, no playbook tracking, no talk-time analytics across the team. If you’re a sales manager who needs visibility into call quality, Fathom won’t give you that. It’s a note-taking tool, not a coaching platform.
5. Otter.ai - Not Built for Sales (But You’ll See It Recommended Everywhere)

I’m including Otter because it shows up on every “best AI meeting assistant” list, and I want to save you the time I spent figuring out why it doesn’t work well for sales teams.
Otter is a solid general-purpose transcription tool. The real-time transcription is good. The price is low. The free plan gives you 300 minutes per month, which is enough for light use.
But Otter wasn’t built with sales workflows in mind. The CRM integration is limited to Salesforce on the Business plan - no HubSpot integration. The AI summaries are generic (good for “what was discussed in the team standup” but not great for “what objections did the prospect raise”). There’s no conversation intelligence, no coaching features, no deal-specific analytics. And a recurring complaint on Reddit: Otter sometimes misses chunks of long meetings entirely. One user reported a 1-hour meeting that produced only 22 minutes of transcript. That’s not a transcription accuracy issue - it’s just missing audio.
If you’re a sales team evaluating Otter because of the price, look at Fathom’s free plan instead. Fathom gives you everything Otter does, plus CRM sync, plus better sales-oriented summaries, and it costs nothing for individual users.
The only scenario where Otter makes sense for sales: If your company has already standardized on Otter for all meetings (engineering, product, company all-hands) and you don’t want to introduce a second tool. You’re running a 5-15 person sales team and use HubSpot or Salesforce: Fireflies.ai Business at $19/user/month. Best balance of CRM integration, conversation intelligence, and price. This is my top pick for a reason.
You need Gong-level coaching and analytics but can’t afford Gong: tl;dv Business at $59/user/month. The playbook tracking and coaching scorecards are worth the price for sales managers. You’re paying about half what Gong charges.
You want everything in one tool (meeting notes + scheduling + CRM + analytics): Avoma’s Startup plan at $19/user/month is a good starting point. Just know that the full stack with conversation intelligence adds up fast.
You’re already using Otter company-wide: It works for sales calls. It’s not optimized for them. Consider running Fathom alongside Otter for your sales team specifically - the free plan means there’s no incremental cost.
