Gong Alternatives for Small Teams: What to Use When $100/Seat Isn't Happening (2026)

Published March 18, 2026

Our Pick

Fireflies.ai

After evaluating 4 tools for alternatives, Fireflies.ai came out on top for its balance of features, accuracy, and value.

Budget Pick

Fathom

Best value option for alternatives who want strong core features without the premium price tag.

Gong costs somewhere between $100 and $130 per user per month. They don’t publish pricing - you have to talk to sales, which tells you everything about who they’re selling to. Enterprise teams with 50+ seats and procurement departments that sign annual contracts.

If you’re a team of 5 to 20 people, that math doesn’t work. A 10-person team on Gong pays $12,000-15,600 per year before you’ve even considered the annual commitment, implementation time, and the admin overhead of a tool designed for organizations ten times your size.

The good news: in 2026, there are tools that deliver 70-80% of Gong’s core value at 15-25% of the price. The conversation intelligence space has matured to the point where small teams can get call recording, transcription, AI coaching, CRM sync, and team analytics without enterprise pricing.

Here’s what actually works.

What Gong Does That You’re Trying to Replace

Before picking an alternative, be honest about which Gong features you actually need. Most small teams want four things:

  1. Call recording and transcription - every tool on this list does this
  2. CRM sync - automatic meeting summaries in HubSpot or Salesforce
  3. Conversation intelligence - talk time, question detection, topic tracking
  4. Coaching - playbook adherence, scorecards, manager-facing analytics

Most “Gong alternatives” articles list 15 tools without distinguishing which ones cover all four. I’m going to be specific about what each tool delivers and where the gaps are.

The Alternatives, Ranked for Small Teams

1. Fireflies.ai Business ($19/user/month) - Best All-Around Replacement

What it covers: Recording, transcription, CRM sync (HubSpot + Salesforce), basic conversation intelligence (talk-time ratios, topic tracking, question frequency).

What it doesn’t: No playbook adherence tracking. No coaching scorecards. The analytics show behavioral patterns but don’t score calls against a methodology like MEDDIC or BANT.

Why it wins for small teams: At $19/user/month (annual billing), a 10-person team pays $2,280/year. That’s roughly 15-18% of what Gong would cost. And Fireflies covers the two features that matter most for small teams: getting meeting data into the CRM automatically and giving managers basic visibility into call patterns.

Fireflies also supports 10+ conferencing platforms and 100+ transcription languages - both significantly broader than Gong. For teams that join calls on whatever platform the prospect uses, this flexibility matters.

The gap: If your sales manager actively coaches using call recordings and needs to score reps against a defined sales methodology, Fireflies won’t replace that part of Gong. For teams where coaching is “listen to a few calls per week and give feedback,” Fireflies’ analytics are enough.

2. Fathom Business ($25/user/month) - Best for Coaching Without Gong Pricing

What it covers: Recording, transcription, CRM sync (HubSpot + Salesforce field-level sync), coaching metrics, AI scorecards, deal view.

What it doesn’t: No playbook adoption tracking (Gong’s headline feature). No team-wide performance benchmarking in the way Gong structures it.

Why it works: Fathom is the closest thing to “Gong for small teams” in terms of feature coverage per dollar. The Business plan at $25/user/month includes coaching scorecards and CRM field-level sync - features that Fireflies Business doesn’t offer. For a 10-person team, that’s $3,000/year vs Gong’s $12,000+.

The free tier for individual users is also a strategic advantage. If you’re a startup where 5 reps need Business features but the CEO and product team just want their own meeting notes, the non-sales people use Fathom Free while sales uses Business. That mixed model saves real money.

The gap: No playbook adherence. If your team follows MEDDIC, Sandler, or another defined methodology and you need automated scoring against that framework, Fathom doesn’t do it. tl;dv does.

3. tl;dv Business ($59/user/month) - Closest to Gong’s Feature Set

What it covers: Recording, transcription, CRM sync, playbook adoption tracking, coaching scorecards, objection pattern analysis, team performance comparisons. This is the most Gong-like feature set at a lower price point.

What it doesn’t: Gong’s market-level intelligence (cross-customer deal pattern analysis across the broader Gong user base) and Gong’s forecasting engine. These are features powered by Gong’s massive data set that no smaller competitor can replicate.

Why it matters: tl;dv is the only tool under $100/user that offers playbook adherence tracking. If your team has invested in a sales methodology and you need to measure whether reps are actually following it, tl;dv is the cheapest path to that data.

At $59/user/month, a 10-person team pays $7,080/year. That’s roughly half of Gong for maybe 80% of the coaching features.

Why it’s not #1: For most small teams, the coaching features that differentiate tl;dv from Fireflies aren’t being used. Playbook tracking requires that your team has a defined playbook. Coaching scorecards require a manager who reviews them. If your team doesn’t have those systems yet, you’re paying an extra $40/user/month for features gathering dust.

4. Avoma Startup + CI Add-on ($48/user/month) - Best Modular Approach

What it covers: Recording, transcription, CRM sync (at $19/mo base), conversation intelligence ($29/mo add-on), scheduling integration.

What it doesn’t: Revenue Intelligence is another $29/user add-on. The full stack ($77/user/month) approaches Gong pricing, which defeats the purpose.

Why it’s interesting: Avoma lets you start with just CRM sync at $19/user/month and add conversation intelligence later at $29/user/month. This modular approach means you only pay for coaching features when you’re ready to use them. And the free viewer seats mean managers can review calls without needing their own paid license.

Why it’s #4: The modular pricing looks flexible but can create budget creep. Adding CI makes the total $48/user/month - more than Fathom Business ($25/mo, includes coaching) and almost as much as tl;dv ($59/mo, includes everything). The value proposition gets weaker as you add modules.

The Cost Comparison

For a 10-person sales team (annual billing):

ToolMonthly CostAnnual Costvs Gong Savings
Gong~$1,000-1,300~$12,000-15,600-
tl;dv Business$590$7,080~50% savings
Avoma + CI$480$5,760~55% savings
Fathom Business$250$3,000~75% savings
Fireflies Business$190$2,280~82% savings

What You Actually Lose When Leaving Gong

Let’s be honest about what smaller tools can’t replicate:

Market intelligence. Gong aggregates data across its entire customer base to show market-level trends. “Your competitors are being mentioned 30% more this quarter” is something only Gong can tell you because only Gong has that cross-company data set. No alternative replicates this.

Forecasting. Gong’s deal forecasting uses conversation signals across thousands of deals to predict close probability. Alternatives offer basic deal tracking but not the AI-powered forecasting that makes Gong’s enterprise pitch compelling.

Depth of integrations. Gong integrates with more CRMs, dialers, and sales tools than any alternative. If you’re running a complex tech stack (Outreach + Salesforce + Dialpad + Clari), Gong connects to all of it natively. Alternatives have narrower integration lists.

For most small teams (under 20 people), these gaps don’t matter. You don’t have enough data for market intelligence to be meaningful. Your forecasting is done in a spreadsheet. Your tech stack is HubSpot or Salesforce plus one or two other tools.

My Recommendation

If you’re reading this article, you probably can’t justify Gong’s pricing. Here’s the decision tree:

Budget is the primary concern: Fireflies Business at $19/user/month. It covers CRM sync and basic analytics at the lowest price point.

You want coaching features without Gong’s price tag: Fathom Business at $25/user/month. Best balance of coaching capabilities and affordability.

Your team follows a defined sales methodology and you need adherence tracking: tl;dv Business at $59/user/month. Only sub-$100 option with playbook scoring.

You don’t know what you need yet: Start with Fathom Free (unlimited, no cost) or Fireflies Free (limited but functional). Use it for a month. Figure out which features you actually want before committing budget.
