You’re one person (or a small team) juggling multiple clients, each with their own context, history, and expectations. The value of a meeting assistant isn’t conversation intelligence or coaching scorecards - it’s continuity.
When you jump from a strategy call with Client A to a project review with Client B, you need to recall exactly where you left off. What did you promise last week? What concerns did they raise about the timeline? What was that thing the CEO mentioned about budget constraints?

What Consultants Need (and What They Don’t)
Need:

The bot problem: Fathom’s notetaker bot is visible in meetings. Most clients won’t care if you mention it briefly: “I use an AI notetaker so I can focus on our conversation instead of typing.” But some clients, especially in legal, healthcare, or government consulting, may have policies against recording. AskFred (Fireflies’ AI search) lets you query across all your meetings in natural language. “What was the deployment timeline we discussed with the Johnson account?” - it pulls the relevant moment from the recording. For consultants with 50+ active and past clients, this cross-client search is powerful.
When to pick Fireflies over Fathom: If you regularly join calls on Webex, BlueJeans, Dialpad, or Skype, Fathom can’t record those. Fireflies can. The $10/month is worth it if platform flexibility matters.
3. Otter.ai Pro ($8.33/user/month) - Best for In-Person Consulting
Why it works: If you do consulting work in person - workshops, on-site strategy sessions, executive offsites - Otter’s mobile app records and transcribes face-to-face conversations. Point your phone at the table, hit record, and get a transcript.
Most meeting assistants assume virtual meetings only. Otter is the best option when the meeting happens in a room, not on a screen.
The real-time transcription is also useful for consultants who want a live reference during a meeting. Some consultants keep Otter running on a second screen to search for things said earlier in a long session.
Why it’s not #1: The free plan is too limited for regular use (300 min/month, 30-min per meeting cap). Pro at $8.33/month removes these limits but caps you at 1,200 minutes per month and 90-minute meetings. For a consultant with 4-5 hours of calls per day, you’ll hit the monthly limit.
Tools Consultants Should Skip
tl;dv: The coaching and playbook features that justify tl;dv’s pricing are irrelevant for consulting work. The free tier is decent (unlimited recordings, 90-day storage), but the 90-day cliff means client conversations from last quarter disappear. Fathom Free with unlimited storage is a better fit.
Avoma: No free plan. The scheduling integration is nice but not worth paying $19/month when Calendly + Fathom Free does the same job at lower total cost.
Gong: I’m mentioning this because consultants sometimes consider it when they grow to 5-10 person firms. Don’t. It’s designed for high-volume sales organizations, not client relationship management. The pricing alone ($100+/user/month) makes it absurd for consulting.
The Privacy Question
Clients care about recording more than you think. Practical advice:
Always disclose. “I use an AI notetaker so I can be fully present in our conversation” works for 95% of situations. Frame it as a quality-of-service improvement, not a compliance checkbox.
Let clients opt out. Some won’t want it. Respect that. Turn off the bot for those calls and take manual notes. Don’t make it awkward.
Know your industry. Government, healthcare, legal, and financial services clients may have policies that prohibit third-party recording tools in meetings. Check before the first call, not after.
Control data retention. Fathom and Fireflies both let you delete individual recordings. If a client engagement ends, consider deleting their meeting archive. Keeping years of recorded client conversations creates risk you don’t need.
